CODE OF ORGANIZATIONAL AND ETHICAL CONDUCT
The Dearborn Soccer Club is committed to public service, serving and meeting the needs of our youth and strengthening our community. Our success depends on public confidence and broad public support by individuals through participation and volunteer efforts, by corporations through charitable contributions, by city government through its programs and parks, and by the general public as tax payers.
As a steward of public trust, the Dearborn Soccer Club is committed to conducting all of its affairs and activities with the highest standards of ethical conduct in accordance with this policy.
I. DEFINITIONS
For purposes of this policy, the following definitions apply:
Board means the Board of Directors of the Dearborn Soccer Club.
Club or DSC means the Dearborn Soccer Club.
Member (or Members or Membership) means any participant in Dearborn Soccer Club activities as a player, coach, manager, club official, league official, referee, parent or spectator.
II. ORGANIZATIONAL IDENTITY
Dearborn Soccer Club Name and Logo. The name and logo of the DSC is the property of the Club and cannot be used without the express consent of the President or Community Affairs Coordinator. By example but not limitation, the following uses of the name and/or logo of the Club must be approved by the President or Community Affairs Coordinator before distribution outside of the Club:
Any advertisement, solicitation and other external communication.
Any posting on any private or non-DSC website.
Any poster or flyer advertising tryouts, camp, etc.
Any promotional materials for a fundraiser.
Any e-mail to a non-Member, with the exception of routine e-mail made in the course of regular volunteer duties and assignments.
Any contract attempting to bind or commit the DSC without the express consent of the President.
The DSC name is never to be used for personal gain, to curry favor, to threaten or pressure, to expedite personal business, to seek special consideration or to imply any of these.
All contact with the media is to be made through the President or the Community Affairs Coordinator. If a member of the media initiates contact, the President or the Community Affairs Coordinator must be notified immediately.
It is the responsibility of the Community Affairs Coordinator to ensure that any educational or promotional information provided to the media or distributed to the public is factually accurate and provides sufficient contextual information to be understood.
All correspondence on the DSC letterhead or placed in DSC envelopes must be approved by the President or the Community Affairs Coordinator, with the exception of routine correspondence or mailings made in the course of regular volunteer duties and assignments.
Dearborn Soccer Club Tax ID Number. The Dearborn Soccer Club is a 501(c)3 non-profit organization under IRS regulations. The tax identification number of the Dearborn Soccer Club is the property of the Dearborn Soccer Club and cannot be used by individuals and/or teams to solicit donations for individual and/or team expenses relating to benefits not available to the general Membership. Any donation solicited utilizing the Club's tax identification number is property of the Club. Misuse of the tax identification number to purchase personal or team property or finance personal or team travel, for example, jeopardizes the Club's non-exempt status, and no exceptions can be made.
II. STEWARDSHIP OF CLUB PROPERTY
The DSC is committed to the responsible use of Club assets. Property of the DSC is owned by the Club, not by the Members. With the exception of disposable property that is intended for one season use, property that is purchased by the Club for use by a Member in the performance of his or her volunteer duties belongs to the Club, not to the Member. A Member has a duty to safeguard Club property in his or her possession and to surrender that property at the completion of his or her volunteer assignment or when requested by the Club, whichever comes first. No item is to be disposed of without the consent of the Club President.
A member in possession of DSC property may not put that property to personal use, except for occasional, incidental use. Non-DSC work product is not to be stored on a Club computer, but must be stored on a removable disk or CD. Software and/or executable files that are not related to the work of the DSC cannot to be installed or downloaded on a Club computer. Club computers, printers, cell phones, etc. may not be used to transmit, store or view inappropriate material that is illegal, pornographic, discriminatory or in any way would reflect poorly on the reputation of the Club.
III. STEWARDSHIP OF CLUB FUNDS
The DSC will keep accurate financial records, and there will be full, fair and regular disclosure to Members of all information relevant to Club funds. The DSC will practice sound financial management and comply with all legal and regulatory requirements. Any Board Member handling financial transactions will be knowledgeable about his or her duties and responsibilities. The Club will establish adequate checks and balances to ensure sound financial recordkeeping.
The DSC has an obligation to ensure program effectiveness and to devote its resources to achieving its stated purpose. Money collected from registration fees, fundraisers, tournament activities, charitable donations, etc. will be spent or allocated as wisely, efficiently and objectively as possible for the purpose of providing quality soccer programming for local youth. Fraud, misuse, abuse or waste of resources will not be tolerated.
IV. STANDARD OF CONDUCT
Duty to Act Ethically. The Club, through its Members, must be ethical and accountable in its program operations and delivery of services. Members must exhibit fundamental values such as honesty, integrity, fairness, respect, trust and responsibility. Members must comply with all standards of conduct that persons exercising reasonable judgment would know are expected of them as well as any standards that the Club has expressly established. These obligations are either self-evident by their very nature or have been conveyed by notice or warning.
Conflicts of Interest. Members must avoid any activity or interest that might conflict or give the appearance that it conflicts with the best interests of the Club or reflect unfavorably on the reputation of the Club. Members are obligated to place the interest of the Club, in any transaction involving the Club, ahead of any personal interest or personal gain, and to disclose all facts in any situation where a potential conflict of interest may arise.
A Member must not allow his or her actions or decisions on behalf of the Club to be bought or influenced by favors. Members must also avoid the appearance of being bought or influenced. Members must not accept benefits of more than token value or discounts programs unavailable to the public when dealing on behalf of the Club. Any contact or other arrangement with the Club that generates funds or property, the funds and/or property belong to the DSC and cannot be used by individual Members or teams.
